How can I get quotes out faster without losing accuracy?

The biggest time-saver is templates plus supplier price books. NextMinute lets you save your common job types as templates — a kitchen reno, a pool surround, a roof replacement — then load them in one click and tweak the line items. Drop in materials from your imported supplier price book, add labour from your saved rates, and you've got a costed quote in minutes rather than hours. Will quoting software save me money?

For most teams it pays for itself inside the first month. If templates and price books save you two hours per quote and you're firing out four quotes a week, you've clawed back nine hours — enough to get another job costed and won. NextMinute also tightens your margin by linking quotes to actual job costs so under-quoting gets caught early rather than at the final invoice. Can NextMinute handle quotes for different trade types — building, landscaping, roofing, pools?

Can I split a large quote into progress claims and stages?

Yes. NextMinute lets you break a quote into stages — foundations, framing, lock-up, fit-out, for example — and invoice against each stage as it completes. The original quote stays intact so you can track what's been claimed, what's outstanding, and what variations have been added along the way. Progress invoicing syncs across to your accounting software so the client gets a clean stage invoice and your books stay in order. Cashflow stays healthier on long jobs.

How do I keep my margin tight when materials prices keep moving?

Update your supplier price book regularly so quotes go out at today's costs, not last quarter's. NextMinute lets you import updated supplier price lists in bulk, and any changes flow into your quote templates automatically — no chasing down line items one at a time. For longer jobs, build in a materials escalation clause so you can pass on price rises rather than wearing them. Back-costing then shows exactly where margin's holding or slipping as the job runs.

How can I make my quotes look professional and on-brand?

Add your logo to your quote PDFs and they'll go out looking polished, with your T&Cs included as standard. You can show clients clear line items for labour and materials, or hide the mark-up detail and just show the totals — your call. A tidy, professional quote stacks the odds in your favour when you're up against three other tradies bidding on the same job. Will my quotes and invoices sync to my accounting software for BAS?

Yes. NextMinute syncs two-ways with Xero, MYOB, and QuickBooks — so invoices, contacts, and payments flow between job management and your accounts without you copying anything across. GST tracks at 10% on every line, and invoices land in your accounting software ready for BAS — no double-entry at the end of the quarter. How do I know when a client opens or accepts my quote?

NextMinute tracks every quote you send. When the client opens the email, you'll see it in the dashboard, and the moment they tap to accept you'll get a notification — on desktop or in the mobile app. No more chasing to find out if they got it, and no jobs starting late because the acceptance email got buried. You can also see which quotes are sitting unanswered and need a follow-up call, so nothing slips.

How long does it take to switch from spreadsheets to NextMinute?

I've already got Xero — why would I need NextMinute too?

Xero handles your accounts; NextMinute handles the actual job. Xero won't help you build a quote off a supplier price book, schedule the crew, log timesheets against a job, or see whether you're tracking to estimate.
