What It Does

From site visit to sent quote in three steps

Enter the job once and the totals look after themselves. No more copying last job's spreadsheet and hoping you caught every number.

1

Job and client details

Your logo and business name, the client, the site, quote date, valid-until date and payment terms.

2

Costs by stage

Start from the building template and rename the stages to suit: demo, frame, lock-up, fit-off. Add a line for every labour, material and subcontractor cost.

3

Waste and margin on every line

Units, rate and charge type on each line, with its own waste % and margin %. Timber carries wastage. A subcontractor's quote doesn't.

✓

Your result

Subtotal, GST and total, ready to print as a PDF with your logo, export to CSV or send to NextMinute.

Who It's For

Made for builders and renovators running a crew

New homes, extensions, renos and decks. Long jobs with dozens of costs, where one missed line can wipe out your margin. Built for residential builders and renovators with a crew to keep busy.

Why It's Useful

Nothing left off the quote

Labour, materials, deliveries, subcontractors and allowances each get their own line. Nothing hides in a lump sum.

Margin on every line

Framing timber and a sparky's quote don't need the same markup. Set waste % and margin % per item.

A quote that looks the part

A clean PDF with your logo and terms, sent the same day as the site visit.

What To Include

What to include in a building quote

A building quote has two jobs: win the work and protect your margin. Price every job in the same buckets, add your allowances, then GST.

Labour + Materials + Subcontractors + Allowances + Margin and wastage + GST = Quote total

1

Build up the labour. Crew hours per stage at your charge-out rate, including supervision and site time. Then materials at today's supplier prices, plus delivery.

2

Add subcontractor quotes as their own lines with your margin on top, and put a waste % on anything you cut.

3

Set allowances and terms. Provisional sums for anything the client hasn't picked yet, plus exclusions, the valid-until date and payment terms.

Before you send it

Check these are in. They're the lines most often left off a build.

Site prepSet-out and temp fencing
WasteSkip bins and removal
AccessScaffolding
AllowancesItems not chosen yet
Why It Matters

Where building quotes leak margin

It's usually the same four.

Guessed labour

Hours pulled from memory, not built up from the scope.

No wastage

Timber, plasterboard and tiles priced at net quantity, then you're short on site.

Vague allowances

A provisional sum with no description turns into an argument at handover.

Unpriced variations

Changes agreed on site that never make it onto an invoice.

Next Step

A template gets the quote out. NextMinute runs the job.

Once the client signs, send the quote into NextMinute and it becomes a live job. Schedule the crew, log time and costs as they happen, price variations and see actual vs quoted while the build's still running.

Construction quoting questions from builders

We’ve answered the ones we hear most from builders and tradies.

What should a building quote include?

A building quote should include labour built up from the scope, materials at current supplier rates with wastage, subcontractor costs, allowances for anything not yet chosen, margin and GST. It should also spell out exclusions, the valid-until date and payment terms. The free quote builder has a line for each, and NextMinute quoting software keeps the same structure across every job.

How do I quote a residential build or renovation?

Quote a residential build or renovation stage by stage. Break the job into stages like demolition, framing, lock-up and fit-off, estimate crew hours for each, then add materials, subcontractors and allowances. Apply wastage on anything you cut and margin on every line. Check your hourly rate covers overheads first with the labour charge-out calculator.

What's the difference between a quote and an estimate?

A quote is a fixed price for a defined scope, while an estimate is a best guess that can change. Most clients want a quote, so it pays to be clear about what's included, what's excluded and which items are allowances. Price variations separately as the job runs, and track them in NextMinute so they make it onto the invoice.

How much margin should a builder add?

There's no single right margin for builders. It depends on your overheads, the job size and the risk. The quote builder defaults to 15% margin per line, and you can change it line by line, so a subcontractor quote and your own labour can carry different rates. To see whether your margins hold up, compare actual costs to your quote with job back-costing.

What is a provisional sum or allowance?

A provisional sum is an allowance for work or items the client hasn't locked in yet, like tiles, appliances or rock excavation. Describe each one clearly and give it a dollar figure, so everyone knows what's covered. Add it as its own line in the quote builder. If the final cost comes in higher, it becomes a variation you can track in NextMinute.

Does the quote builder add GST?

Yes, the quote builder adds GST for you. The GST rate is set to 10% by default and you can edit it in the quote details. The quote summary shows the subtotal, GST and total, so the client sees exactly what they're paying. When the job's done, NextMinute invoicing carries the same figures through to the invoice.

Can I put my logo on the quote?

Yes, you can upload your logo in the quote details and it prints on the PDF quote along with your business name, the client's details, the quote date, valid-until date and payment terms. A clean, branded quote looks more professional than a spreadsheet. Once you're in NextMinute, every quote uses the same branding automatically.

Is my quote data saved anywhere?

No, the free quote builder doesn't store your data online. To keep a quote, export it as a CSV before you close the page, then import it next time to pick up where you left off. If you'd rather have every quote saved against the job and client, start a free NextMinute trial and export your quote straight in.

Can I reuse a quote for a similar job?

Yes. Export a finished quote as a CSV, then import it into the quote builder for the next similar job and change the quantities, rates and client details. It's a quick way to keep pricing consistent across extensions or renovations you do often. In NextMinute, you can save quote templates and price lists so you don't need the CSV step.

When should a builder move from a template to quoting software?

Move to quoting software when you're running several jobs at once with a crew. A template gets consistent quotes out the door, but it can't schedule the crew, track variations or show what each job made. NextMinute quoting software turns an accepted quote into a live job, and you can export from the free template straight in.
