How To Quote It
Most landscaping jobs don't lose money on the rates. They lose it on what got left off. Work through the same buckets every time.
Labour + Materials and plants + Machine hire + Subcontractors + Margin and wastage + GST = Quote total
Measure up and price the labour. Square or lineal metres, access for machines and deliveries, then crew hours per task at your charge-out rate.
List materials, plants and machines. Turf, pavers, basecourse, aggregate, timber, drainage, soil and plants, plus digger, bobcat or compactor hire, deliveries and cartage.
Add waste, allowances and margin. A waste % on anything you cut, a line for site unknowns, then margin on the full cost.
Check these are in. They're the lines most often left off a landscaping job.
These are the costs that bite on a backyard build.
Extra digging means extra dump runs, and gate fees include the waste levy.
One more load of base or aggregate, plus another delivery.
Turf, pavers and timber priced at net area, then you're short on the day.
No machine access turns a one-day job into two.
Once the client says yes, send the quote into NextMinute and it becomes a live job. Schedule the crew, capture timesheets and site photos against the job, and see actual vs quoted while you're still on site.

Quote a landscaping job in NZ by measuring it on site, pricing crew hours per task, then listing materials, plants, digger or bobcat hire, deliveries and dump fees. Add wastage on anything you cut, a line for site unknowns, margin over the full cost and GST at 15%. Working from plans? Import takeoff quantities into NextMinute instead of keying them in.
The quote builder's GST rate is editable, so change it from the 10% default to 15% in the quote details before you add lines. The summary then shows subtotal, GST at 15% and total. In NextMinute's landscaping software, NZ GST is set up already, so quotes and invoices use 15% without any changes.
Price dump fees as their own line, by the load or by the tonne, using your local transfer station's gate fee. Gate fees in NZ include the national waste levy, and green waste, cleanfill and mixed waste are often priced differently. Add cartage for each run too. Track actual disposal costs against the quote with NextMinute back-costing.
Rural and out-of-town landscaping jobs need travel, longer delivery runs and machine floats priced in. Add crew travel time and vehicle costs as their own lines, and check delivery charges with your supplier for the distance. For diesel utes, allow for Road User Charges on top of fuel. The fuel cost calculator works out the fuel side.
Your hourly rate needs to cover wages, KiwiSaver, holiday pay, ACC levies, insurance, vehicles, downtime and profit, not just what you pay the crew. Work it out from your own costs rather than copying someone else's. The free labour charge-out calculator builds it up, then use that rate in the quote builder.
Allow wastage on anything you cut, like turf, pavers, edging and timber. Curves, angles and small areas waste more than straight runs. The quote builder defaults to 10% waste per line and you can change it on each line, so turf and pavers can carry different figures. Compare actual material use to your quote in NextMinute to tune it over time.
Yes, NextMinute connects to Xero, so invoices raised against a landscaping job flow into your accounts without double entry. The free quote builder doesn't connect to Xero, but once you export a quote into NextMinute the job and its invoices sync. See the NextMinute Xero integration for details.
Yes, upload your logo in the quote details and it prints on the PDF with your business name, client details, quote date, valid-until date and payment terms. Sending a tidy, branded quote the same day as the site visit helps you win the job. In NextMinute, every quote carries your branding automatically.
No, the free quote builder doesn't store anything online. Export your quote as a CSV before closing the page, then import it later to edit or reuse it. To keep every quote saved against the client and job, start a free NextMinute trial and export the quote straight in.
Exporting a quote to NextMinute turns it into a live job with the same stages and line items. From there you can schedule the crew, capture timesheets and site photos, and compare actual costs to what you quoted while the job's still running, rather than finding out after it's done.
